Intake Coordinator

Position located in Tarpon Springs.

Summary/Characteristics of Position:

The Intake Coordinator is responsible to greet visitors and individuals seeking care and provides basic education and initial orientation to ACTS services. The Intake Coordinator assists those served with intake/orientation documents as needed, and coordinates service payment options/collections. Provides brief, motivational interventions and outreach to maintain client engagement in service activities.

Pre-requisite Requirements:

  • High School Diploma or equivalency

Preferred Attributes:

  • One (1) year of office, hospital clerical or related customer service experience.
  • Certified Nursing Assistant or Certified Medical Assistant

Previous experience in an office  health care or human services setting

Previous experience with revenue maximization including insurance billing/authorization in a healthcare setting.

Bilingual (English/Spanish)

  • Ability to handle protected health information in a sensitive and appropriate manner
  • Ability to use technology for scheduling, client records, and service billing.

Essential Functions:

  Performs pre-admitting activities including scheduling, screenings, and explanation of services. Reviews payment and insurance information to identify waiver/reduction eligibility or preadmission approval requirements from third-party payers. Assembles admission folders containing paperwork for scheduled patients.

 Performs admitting activities. Greets patients and conducts an initial orientation to treatment /services. Assist them to complete intake documents and obtains required information and signatures.  Notifies nursing and/or counseling unit of patient arrival. Accepts patient valuables and provides patient information literature.

  • Serves as a liaison with persons served and insurance companies related to fee waiver, reduction or insurance coverage eligibility and applicable fee collection.

  Monitor status of needed continued stay authorizations and inform clinical staff when necessary. Assists in gathering required information.

  • Answers daily inquiries regarding admitting procedures, array of services and access to care. Refers inquiries to appropriate person or department elsewhere in the organization when necessary.

 Identifies signs of emotional or medical crisis and promptly seeks assistance from clinical staff.

 Follows up with clients who have missed scheduled appointments to attempt to re-engage them in services, or refer them to services that are more appropriate.

  Perform related work as required/assigned.

Supervision: This position reports directly to the Program Director. This position does not have any direct reports. 

Physical Requirements:

  • Must be physically capable of participating in physical crisis intervention and CPR/First Aid training and apply to work setting, when needed.

Must be able to bend, sit, kneel, push and reach.

Prolonged periods of sitting at a desk and working on a computer.

Must be able to lift up to 50 pounds at times with or without assistance.

Work Environment:

Work is generally performed within an office environment, with standard office equipment available. Direct client contact occurs daily.

Travel is not required.
