Receptionist

Characteristics of Position:

The Receptionist is an administrative support position responsible for greeting visitors and delivering exceptional customer service assistance. This entails answering calls and fielding them accordingly, addressing visitor questions and needs, and providing an overall welcoming environment. This oftentimes includes performing ad hoc administrative duties as needed.

Pre-requisite Requirements:

  • Minimum high school diploma or equivalent required
  • Minimum two (2) years of relevant experience in an office environment
  • Must possess valid Florida Driver License, industry accepted driving history and maintain vehicle insurance required by State of Florida.

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.


Core Responsibilities/Essential Functions:

  • Greets clients, visitors, and guests; determines the purpose of each persons visit and directs or escorts him or her to the appropriate location.
  • Answers, screens, and directs phone calls to staff; takes messages and schedules appointments.
  • Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
  • Performs administrative and clerical support tasks.
  • Maintains inventory of office supplies; orders new supplies as needed.
  • Copies, sorts, and files records related to office activities, business transactions, and other matters.
  • Prepares letters, memos, forms, and reports according to written or verbal instructions.
  • Performs basic filing and recordkeeping.
  • Manages calendars and schedules appointments.
  • Assists with internal event/meeting preparations
  • Performs other duties.


Physical Demands: While performing the duties of this job, the employee is regularly required to sit, talk, hear, stand, walk, carry items, and stoop. Prolonged periods of sitting at desk and working on a computer screen. Must be able to lift 15 pounds at a time.

Supervision: This position reports to the Chief Financial Officer. This position does not provide supervision to others.

Work Environment: Duties are performed in a professional office environment. This role routinely uses standard office equipment such as computers, copiers, scanners and video conferencing equipment.

Position Type/Hours of Work:This is a full-time 40hrs./wk. Days are typically Monday through Friday, hours may range from 8:00am to 6:00pm. Flexibility allowed, with approval.

Travel: No travel is required.
